Summary

Solicitation notice from the Department of Defense, specifically the Department of the Air Force, is seeking AV Equipment and Support Services for the DORIES Conference at Wyndham Lake Buena Vista Resort in Orlando, FL. The equipment will be used during October 24 - October 27, 2023, for lecture and/or panel style discussions in various rooms. The contractor must provide wireless high-speed internet connectivity in all large ballroom plenary meeting and breakout rooms, as well as allow government-provided computer equipment to be connected to AV devices. AV technical support and power strip extension cords for breakout rooms are also required. The equipment needs to be in place by October 24, 2023, at 7 AM local time, and strike down must be completed by 11:30 PM local time on October 27, 2023. The contractor should provide estimates for equipment strike down on both October 26 and 27 after 5 PM. The required equipment includes screens, projectors, audio speakers, power strip extensions, wireless microphones, technical support, and labor for set up and strike down.

Description

Audio and Visual (AV) Equipment and Support Services at Wyndham Lake Buena Vista Resort, 11850 Hotel Plaza Blvd, Lake Buena Vista, FL 32830 during October 24 - October 27, 2023. AV support to include projectors, screens, audio equipment appropriate for lecture and/or panel style discussions in each of the rooms. All large ballroom plenary meeting and breakout rooms must have wireless high speed internet connectivity. The Contractor will need to provide the necessary ability to ensure each room has internet access. The Contractor shall permit Government provided computer equipment to be plugged into required AV devices. AV technical support should be on hand in case of malfunction and transfer of power strip extension cords to breakout rooms. AV Equipment needs to be in place prior to event start date of 24 October 2023 at 7 AM local time. Equipment strike down must be complete no later than 11:30 PM local time on 27 October, 2023. Please provide estimate for equipment strike down for both 26 and 27 October after 5pm to have two options for cost analysis. The following equipment shall be required: • 3 – 7x13 Screen/Front Projection Surface (max height) • 2 – 8x8 Breakout Room Screens/Front Projection Surface • 5 – LCD Projectors • 4 – PowerPoint slide remote control devices (30-50 foot range) • 2 – Audio Speakers • 10 – Power Strip Extensions to support 25 laptop connections • 7 – Handheld Wireless Microphones/2 Stationary Stands • 1 – Lapel Microphone wireless • 1 – Onsite Technical Support • Labor – Set Up/Strike Down ***Please see attachments for additional information.
