Sources Sought for Hotel Rooms, Catering and Reception Hall

The U.S. Naval Academy's Admissions Department seeks a hotel in Annapolis, Maryland, for its Summer 2026 Centers of Influence (COI) Orientation Visit, scheduled for July 27-30, 2026. The program aims to educate high school counselors, educators, and community leaders to increase qualified applicants to the Naval Academy. The chosen hotel must provide lodging for 100 guests in single-occupancy, non-smoking rooms for three nights, totaling 300 room nights with 65% guaranteed occupancy. Additionally, the hotel will host a welcome reception for 115 attendees (100 guests and 15 Naval Academy staff), including a cash bar, hot and cold hors d'oeuvres, and beverages. Daily breakfast for all registered guests is also required. Other requirements include a registration area in the lobby, guest and staff parking, and courtesy shuttle service to downtown Annapolis and the Naval Academy if not within walking distance. The hotel must be able to accommodate full-size buses for guest transport and provide a suitable private space for the reception and a lobby area for registration. Bids must include sample menus and clearly annotate any parking costs.
